This privacy policy of Stichting Breda Robotics applies to the privacy terms of our website www.breda-robotics.nl, the sending of our newsletter and various related activities that we carry out as a foundation. We carry out these activities within the framework of our objectives.

Personal data that we process

Stichting Breda Robotics processes your company's data or your personal data because you use our services and/or because you provide it to us yourself. Below is an overview of the personal data we process:

• Gender
• Address details
• Telephone number
• Email address
• Bank details (as indicated on invoice or known at Chamber of Commerce)
• Other personal data that you actively share in correspondence by email and telephone

For what purpose and on what legal basis do we process personal data

Stichting Breda Robotics processes your personal data for the following purposes:

• We may call or email you if this is necessary to provide our service;
• We process personal data when we are legally obliged to do so, such as data that we need for our tax return;
• We process personal data when we are obliged to do so due to subsidy accountability.

Automated information

Stichting Breda Robotics does not make decisions about matters that could have (significant) consequences for individuals based on automated processing. This refers to decisions made by computer programmes or systems, without human intervention (for example, an employee or director of Stichting Breda Robotics). Stichting Breda Robotics uses the following computer programmes or systems:

• Office 365: Used for sending and receiving emails and storing documents, including the processing and storage of personal data.
• Mailchimp: Used for distributing newsletters.
• Website: Used for registrations for Stichting Breda Robotics meetings and for signing up for newsletters. The tracking tool Google Analytics is also used to analyse the use of our website and to gain a better insight into our visitors, so that we can tailor our services accordingly. This tracking tool is designed and configured to collect only Non-personal information about your use of our website. Your IP address is anonymised in this process.
• AFAS: is used for processing and storing personal data.
• Social media channels (including Facebook, Twitter, LinkedIn, Instagram) are used to distribute news reports with the use of visual material.

You do understand, however, that such tools and systems are partly created and managed by parties outside of our control. As such, we are not responsible for any information that is actually recorded by such third parties or how such third parties use and protect that information.

We receive automatic information from your web browser or mobile device. This information includes the name of the website from which you visited our website (if applicable), the IP address of your computer/proxy server that you use to access the internet, the name of your internet website provider, the type of web browser, the type of mobile device, and the computer's operating system. Our email policy

Our organisation fully complies with national legislation regarding SPAM. You can unsubscribe from receiving further email correspondence from us. We agree not to sell, rent, or trade your email address to other organisations without your explicit consent.

Sharing of personal data with third parties

Stichting Breda Robotics shares your personal data NO with third parties without your explicit permission for this. Your data will only be used to enable Stichting Breda Robotics to carry out its work, such as maintaining an agenda function and an administration programme. All programmes that Stichting Breda Robotics uses comply with the same strict legal requirements for the security of personal data. Invoicing for services provided is also processed via a secure online accounting system that is not accessible to third parties, with the exception of the accountant.

Permission to publish images

Stichting Breda Robotics will use images of its members, attendees of meetings, and spectators for:

• Website publication
• Publication on social media and use in media

By partnering with the Breda Robotics Foundation or participating in activities of the Breda Robotics Foundation, you grant permission for any images taken to be used for the aforementioned purposes.

Stichting Breda Robotics will not publish any visual material that could be harmful to you as a person or organisation. You cannot claim any compensation for the visual material used by Stichting Breda Robotics. You always retain the right to have visual material on which you appear removed; you can then contact us. We may ask you to identify yourself before proceeding with removal.

Photos taken at our events and gatherings may and will be used in our communications. By registering for one of our events or gatherings, you agree to this.

Cookies, or similar techniques, that we use

Stichting Breda Robotics only uses technical and functional cookies. And analytical cookies that do not infringe on your privacy. The cookies we use are necessary for the technical functioning of the website and your ease of use. They ensure that the website works properly and remember your preferred settings, for example. On this copy, black out your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.
