Personal data we process

The Breda Robotics Foundation processes your company’s data or your personal data because you use our services and/or because you provide this information to us yourself. Below is an overview of the personal data we process:

  • Gender
  • Address information
  • Phone number
  • Email address
  • Bank details (as listed on the invoice or on file with the Chamber of Commerce)
  • Other personal data that you actively share in email and telephone correspondence

For what purpose and on what legal basis do we process personal data?

The Breda Robotics Foundation processes your personal data for the following purposes:

  • To be able to call or email you if necessary to provide our services;
  • We process personal data when we are legally required to do so, such as data we need for our tax return;
  • We process personal data when we are required to do so for the purpose of reporting on the use of grants.

Automated information

The Breda Robotics Foundation does not make decisions based on automated processing regarding matters that could have (significant) consequences for individuals. These are decisions made by computer programs or systems without human intervention (for example, by an employee or director of the Breda Robotics Foundation). The Breda Robotics Foundation uses the following computer programs or systems

  • Office 365: Used for sending and receiving emails and storing documents, including the processing and storage of personal data.
  • Mailchimp: Used to distribute news updates.
  • Website: Used for registering for events organized by the Breda Robotics Foundation and for subscribing to news updates. We also use the tracking tool Google Analytics to analyze website usage and gain a better understanding of our visitors, so that we can tailor our services accordingly. This tracking tool is designed and configured to collect only non-personal information about your use of our website. Your IP address is anonymized in this process.
  • AFAS: is used to process and store personal data.
  • Social media channels (including Facebook, Twitter, LinkedIn, and Instagram) are used to share news stories accompanied by images.

However, you understand that such tools and systems are partly created and managed by parties beyond our control. As such, we are not responsible for what information such third parties actually collect or how they use and protect that information.

We receive automatic information from your web browser or mobile device. This information includes the name of the website from which you visited our website (if applicable), the IP address of your computer or proxy server used to access the internet, the name of your internet service provider, the type of web browser, the type of mobile device, and the computer’s operating system. This information is stored in log files.

Our Email Policy

Personal information

The Breda Robotics Foundation processes and stores your personal data until you request that it be deleted. After that, the personal data will be destroyed.

The Breda Robotics Foundation does NOT share your personal data with third parties without your explicit consent. Your data is used solely to enable the Breda Robotics Foundation to carry out its activities, such as maintaining a calendar function and an administrative program. All software used by the Breda Robotics Foundation complies with the same strict legal requirements for the security of personal data. Invoicing for services rendered is also processed via a secure online accounting system that is not accessible to third parties, with the exception of the accountant.

Consent to publish visual material

The Breda Robotics Foundation will use images of its members, meeting participants, and spectators for:

  • Publication on the website
  • Posting on social media and use in the media

By becoming a partner of the Breda Robotics Foundation or participating in its activities, you grant permission for images taken to be used for the purposes described above.

The Breda Robotics Foundation will not post any visual material that could be harmful to you as an individual or organization. You cannot claim any compensation for visual material used by the Breda Robotics Foundation. You retain the right at all times to request the removal of any visual material in which you appear; please contact us, and we may ask you to verify your identity before proceeding with the removal.

This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization of your choice. You can send a request for access, correction, deletion, or data portability of your personal data, or a request to withdraw your consent or object to the processing of your personal data, to info@breda-robotics.nl. To ensure that the request for access has been made by you, we ask that you include a copy of your ID with the request. In this copy, black out your passport photo, MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.
